OVERVIEW
The Home Health Office Manager oversees daily administrative operations in a home health agency. They ensure compliance with regulatory requirements, support field staff, manage scheduling, maintain medical records, and oversee billing and payroll processes. This role requires strong organizational, leadership, and communication skills to support efficient agency operations.
RESPONSIBILITIES
Administrative & Office Operations
- Manage daily office functions, including clerical and administrative support.
- Supervise office staff and ensure smooth workflow.
- Develop and enforce office policies and procedures.
- Maintain compliance with HIPAA and home health regulations.
- Scheduling & Coordination
- Oversee patient scheduling, ensuring timely visits by clinicians.
- Assign field staff based on availability and patient needs.
- Communicate schedule changes to staff and patients.
Billing & Payroll
- Coordinate insurance verifications and authorizations.
- Assist with billing, coding, and claims processing.
- Oversee payroll processing for field staff, ensuring accuracy in visit logs and timesheets.
Medical Records & Compliance
- Ensure timely and accurate maintenance of patient records in the Electronic Health Record (EHR) system (WellSky).
- Conduct audits of medical records for completeness and compliance.
- Assist with accreditation and state/federal regulatory requirements.
Human Resources & Staff Support
- Assist in onboarding and credentialing new hires.
- Maintain personnel files and track required training and certifications.
- Support staff by addressing concerns and facilitating communication between office and field teams.
QUALIFICATIONS
- Education: High school diploma required; Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
- Experience: Healthcare office or administrative role.
- Technical Skills: Proficiency in home health EHR systems ( WellSky) and Microsoft Office (Word, Excel, Outlook).
- Knowledge of Regulations: Understanding of Medicare, Medicaid, and private insurance guidelines for home health services.
- Soft Skills: Strong organizational, problem-solving, and multitasking abilities. Excellent communication and customer service skills.
Work Environment: Office-based role with regular phone and email communication with field staff, patients, and payers.
May involve occasional travel for training or meetings.
Job Types: Full-time, Contract
Pay: $20.00 - $22.00 per hour
Expected Hours: 8 per week
